1. Scope
This policy describes how Earful handles information as the provider of a platform for collecting, reviewing, analyzing, and publishing campaign submissions. Organizations determine the content and purpose of their campaigns and how they use the responses they collect.
2. Information we process
For organization users, we process account information such as email address, authentication records, organization membership, and account activity. For respondents, we process the information requested by a campaign, which may include name, contact details, location, story content, follow-up answers, consent choices, and related submission information.
We also process technical information used to operate and protect Earful, such as IP address, browser and device information, session records, usage events, and error reports. When analytics is enabled, it may also collect page activity and session-replay data.
3. How it is used
We use information to authenticate users; collect, organize, search, and moderate submissions; provide staff dashboards and exports; send submission receipts and organization-authored messages; detect spam, duplicate activity, and misuse; and maintain the reliability and security of the service.
4. Automated processing
Submission content may be processed by artificial-intelligence services to suggest classifications, summaries, follow-up questions, search results, and moderation flags. These outputs assist authorized staff and do not replace their review.
5. How information is shared
Campaign submissions are available to authorized users of the organization running the campaign. A submission is displayed publicly only after organization review and when the respondent has chosen public sharing; the selected name-display preference is applied.
We use service providers for functions such as hosting, storage, email delivery, analytics, error monitoring, and artificial-intelligence processing. We may also disclose information when required by law or reasonably necessary to protect the service, its users, or others. Earful does not sell personal information or use campaign submissions for advertising.
6. Retention & security
We retain information for as long as reasonably needed to provide the service, support the organization running the campaign, maintain security and business records, and meet legal obligations. We use reasonable safeguards to protect information, but no system can guarantee absolute security.
7. Your choices
Respondents control the publication, name-display, quotation, and contact choices presented in the campaign form. Messages sent to respondents on behalf of an organization include an unsubscribe link. Requests concerning a campaign submission should ordinarily be directed to the organization running that campaign.
8. Changes to this policy
We may update this policy as Earful changes. We will post the revised policy and update the date above.
